General information
There is no registration fee for taking part in SinFonIJA 13 (presenting or attending). Presenters will be registered automatically, using the email addresses they have provided previously.
We would like to post slides and/or handouts for all the talks and posters on the conference website, so that attendees could download them in advance. Please email your materials (as pdf files) to sinfonija13@nytud.hu by Tuesday, 22 September.
The conference will consist of regular talks, invited presentations, and poster sessions.
Regular talks are 25 minutes long, followed by a 10 minute Q&A session. We decided to give each presented a little extra time, compared to the usual 20 minutes, in case there are any technical difficulties, and in order to avoid rushed presentations.
Invited talks are 45 minutes long, followed by 15 minutes for discussion.
Poster sessions consist of several components (lightning talks, website with posters, optional Zoom meetings); please see below for more details.
Talks
SinFonIJA talks will be presented as part of a password-protected Zoom meeting.
Before the conference
- Please email your slides and/or handout (saved as pdfs) to sinfonija13@nytud.hu by Tuesday, 22 September.
- Please find a quiet space and stable internet connection to deliver your presentation.
- Download and install Zoom: https://zoom.us/
- Configure settings
- Navigate to Settings by clicking the gear-shaped icon in the upper right corner, directly below the rounded square icon with your initials. Here you can access video and audio settings, along with many others.
- Enable the following settings:
- Audio > Mute microphone when joining a meeting
- Audio > Join audio by computer when joining a meeting
- Audio: Test out the mute/unmute button (usually on the bottom left of the screen), and click the carrot to the immediate right of the button to test out your microphone levels.
- Make sure you are comfortable with the background visible in your video, and that your face is clearly visible.
- Join a test meeting (https://zoom.us/test) to check your internet connection and the audio and video settings.
- Please make sure to convert the times listed in the program to your local time. All times given in the program are in the Central European Time (CET).
During the conference (presenters)
- Join the Zoom meeting at least 5 minutes prior to the
start of the session that your presentation is part of.
- You will need a password to join the meeting. We will email the Zoom link and the password to all presenters and participants by Wednesday, 23 September 2020.
- When called on by the session chair to start your talk:
- Share your screen and select the window with your slides or handout. This will allow the audience to follow your handout or slides in real time.
- Unmute yourself using the mute/unmute button
- Turn on your video using the video button
- After the Q&A Session has concluded:
- Click Stop Share below the control panel near the top of the screen
- Re-mute yourself
- Turn off your video
- To ask a question, please use the chat feature in Zoom.
- You can type your question directly into the chat, so that the chair can read it out for the presenter, or write that you have a question and ask it yourself when called on by the chair.
- In order for the Q&A periods to run maximally smoothly, please use the chat feature for all questions (as opposed to e.g. the ‘raise hand’ feature).
General Zoom tips

- Quit unnecessary applications when using Zoom
- Use headphones if you're in a noisy environment or to reduce feedback
- Turn off your video if you are having trouble with your connection,
Posters
We decided to hold poster session in a format that is maximally close to a live poster session. To this end, each poster session will consist of two components: ‘lightning talks’ and time allocated for browsing the posters online. Poster presenters can also choose to be available on Zoom during the poster session.
Before the conference
- Please make sure to convert the times listed in the program to your local time. All times given in the program are in the Central European Time (CET).
- Please send a pdf of your poster to
sinfonija13@nytud.hu by Tuesday, 22 September.
- Your poster will be added to the poster session website, https://sinfonija13.wordpress.com/, where the conference participants will be able to view and comment on your poster.
- The poster session website is password-protected. The password will be circulated among registered conference participants before the start of the conference.
- Additionally, the posters will be available, as pdf files, on the main conference website, http://www.nytud.hu/sinfonija13/.
- Poster details:
- Font size: 28pt or larger. Recommended fonts: Georgia, Times New Roman, Helvetica, or Arial.
- Maximum poster width is 48 inches (130 cm), maximum height is 36 inches (100 cm).
- All files must be saved and submitted as a PDF. The file size may not exceed 25MB.
During the conference:
‘Lightning talks’:
- Before each poster session, each author will have up to 5 minutes on Zoom to briefly present their project to all conference participants
- The authors can prepare a slide to display during their ‘lightning talk’ or share their screen with the poster at the same time.
Browsing time:
- Pdfs of posters will be displayed at https://sinfonija13.wordpress.com/ for the duration of the conference; the website is password-protected.
- Conference participants can view and leave comments on the posters at any time.
- The authors should be available to respond to comments in real time during the poster session that their poster is part of (please consult the program for that).
- In addition to responding to comments, the
authors can choose to have a dedicated, password-protected Zoom meeting room
during the poster session that the participants can join them in if they have
questions or comments.
- This is an optional arrangement that we are happy to offer in order to facilitate the discussion.
- If you would like to have a Zoom meeting room during the browsing time of your poster session, please let us know no later than Tuesday, 22 September.
